School outdoor events are deceptively tricky to get sound right at. A sports day or summer fete looks straightforward on the surface but the combination of open space, unpredictable weather, moving crowds and a mix of children and adults creates real challenges for a PA setup.
Get it right and nobody notices. Get it wrong and the commentary is inaudible at the far end of the field, the head teacher’s speech is lost in the wind, and the whole event feels less organised than it should.
We’ve worked with schools across London and West London for a number of years. Here’s what we’ve learned about what works.
What are schools usually hiring PA for?

Sports days and athletics events
Commentary, race announcements, results, and instructions to pupils and parents across a playing field or track. Coverage across a wide outdoor area is the main challenge here. You need the far end of the field to hear as clearly as the front.

Summer fetes and community open days
Background music, stage performances, announcements and activity introductions across a spread-out site. Often needs multiple speaker positions rather than a single central setup.

Outdoor assemblies and prizegivings
Speech-focused events where every word needs to reach a large seated audience clearly, often in a courtyard, playground or on a field. Wind and ambient noise are the biggest enemies here.

School performances and concerts
Outdoor performances need enough power to do justice to the pupils performing without overwhelming the audience at the front. Getting the balance right between coverage and volume takes experience.
What equipment do outdoor school events need?
The key difference between an indoor and outdoor school event is that outdoors, sound doesn’t bounce back to you. It disperses into open air. A system that would sound great in a school hall will feel thin and distant on a playing field.
For a typical outdoor school event you’d usually need the following.
- Powered speakers with enough output to cover the event area
- A wireless handheld or headset mic for the presenter or commentator
- A mixer to balance music and speech levels separately
- Stands and mounts to position speakers at the right height for projection
- Weather-resistant cabling and connections throughout
- A reliable power source at or near the setup position
For larger sites or events with a stage area and separate zones, additional speakers positioned through the crowd area can make a significant difference to how evenly the sound carries.
The weather factor
Don’t assume it’ll be fine
In the UK, outdoor events in June and July can still turn wet and windy with very little warning. Equipment needs to be either weatherproof or properly covered and protected. Cabling on the ground needs to be secured so it doesn’t become a trip hazard if it rains and conditions change. We plan for the weather on every outdoor school job, not just the ones that look risky.
Self-managed or with an engineer?
This depends on how complex the event is and how much capacity your staff have on the day.
A simple setup with one speaker and a single wireless mic for a small outdoor assembly can work on a self-managed basis if someone on your team is comfortable with it. We’ll make sure everything is ready to go before it arrives with you.
For anything larger, or if your staff are going to be occupied running the event itself, having one of our engineers there is worth considering. They handle the sound from setup to pack-down, which means your team can focus entirely on the pupils and the programme.
One thing to plan early: power access. On a playing field or in a large outdoor space, the nearest power supply might be further away than you expect. Talk to us about this when you enquire and we’ll factor it into the setup plan.
How much does it cost?
Outdoor school events vary quite a bit in scale, but as a rough guide a simple setup for a sports day or small outdoor event starts from around £200 to £350 for self-managed hire. A larger fete or event with multiple coverage zones and an engineer on site would typically sit in the £400 to £900 range depending on the specifics.

When should you book?
Summer term fills up quickly, particularly June and July when sports days and fetes tend to cluster. If you know your event date, it’s worth booking two to three months in advance to make sure you get what you need. That said, if your date is coming up and you haven’t sorted it yet, get in touch anyway. We’ll tell you straight away whether we can accommodate it.
